One-stop guide to procedures and support for conducting research at Kyoto University
Carrying out a research project involves numerous processes—from budget execution to collaboration with external partners and managing research data. This page offers a comprehensive guide to the necessary procedures and available support systems.
Managing and Executing Research Funds
Proper management and execution of research funds are essential for the smooth implementation of research projects. At Kyoto University, institution-wide guidelines and systems have been developed to ensure appropriate use of research funds.
Specific procedures are handled by administrative offices in each department or graduate school. Researchers are encouraged to consult with their department’s designated contact point for assistance.
For KAKENHI (Grants-in-Aid for Scientific Research)
- confirmation of KAKENHI qualification requirements,
- obtaining an e-Rad (or KAKENHI Online Application System) ID,
- modification of your information (including adding the date of obtaining PhD degree for Early-Career Scientist applicants) in e-Rad and so on.
If you do not know the local contact address, We can help you find one.
Other than above, please contact us.
For JSPS Fellowships,
Please contact the administrative office of the host researcher’s department.

Conflict of interest (COI) management, research integrity, and ethics procedures
Kyoto University places the highest priority on conducting research in a safe, ethical, and fair manner.
Researchers are expected to manage conflicts of interest appropriately, prevent research misconduct, and complete all necessary procedures related to bioethics and security in accordance with university regulations.
For more details, please refer to the Research integrity page.
Support for Managing Ongoing Research Projects
Consultation and Guidance Throughout Your Project
We provide support for various challenges that may arise during the course of a research project—from reviewing research plans and preparing progress reports to planning for next-year funding applications.
Depending on the nature of your inquiry, we may also connect you with relevant departments or external organizations, such as industry–academia collaboration offices.
Feel free to contact the Office of Research Acceleration for guidance or assistance.
Support for Institutionally-coordinated and center-based research projects
We provide hands-on support for the full life cycle of institutionally-coordinated and center-based research projects—from initial planning and project design, to implementation, progress management, outcome reporting, and external evaluation.
Our team works closely with principal investigators and project members to navigate the complexity of large-scale and interdisciplinary initiatives, while ensuring smooth communication with funding agencies and internal administrative offices.
Examples of supported projects include:
- MEXT Element Strategy Initiative
- JST SICORP (Strategic International Collaborative Research Program)
- JST COI-NEXT (Program on Open Innovation Platforms for Industry-academia Co-creation)
Proper Management and Sharing of Research Data
Research data is the foundation that supports research results and is directly related to ensuring reproducibility and transparency, fair research activities, and the trust of society. In recent years, with the promotion of open science and the mandatory submission of data management plans (DMP: Data Management Plan) by various funding agencies, appropriate research data management has become an important responsibility for researchers.
The University has a system in place to support appropriate management and, to the extent possible, sharing of research data throughout its lifecycle in accordance with the Research Data Management Policy.
Services for Data Management and Sharing
The Institute for Information Management and Communication (IIMC) provides services for data storage and backup to support researchers in securely managing their research data.
Support for DMP Creation and Data Management Consultation
If you have questions about how to prepare a DMP, concerns about data handling, or challenges in ongoing data management, feel free to contact:the Research Data Management Support Center for personalized assistance.

CSV Generator Tool for KAKENHI Reporting
A tool is available to help researchers generate pre-formatted CSV files for use in the KAKENHI e-application system’s achievement reports. It automatically converts data downloaded from the Kyoto University Education and Research Activity Database into the required format for bulk import of journal articles, conference presentations, and books.
This tool is especially useful for large-scale research projects or collaborative projects involving researchers from multiple institutions.
※ Currently available for Windows only
The tool is available from Institutional Research Office website

Research Communication and Social Implementation
Kyoto University has adopted an open access policy that, in principle, requires academic publications and other research outputs to be made publicly available.
For more information on publishing your research, sharing it with society, and implementing its social value, please visit the Dissemination & impact page.
